b)
All references to “teams” shall mean current registered Summer League teams.
a)
To
foster and encourage the playing of Petanque within the area controlled by the
Club b)
i)
To organise an Inter Club League. ii)
To organise a representative Club Team. iii)
To organise petanque competitions which
will be open to all members of the Club. c)
To
encourage members of the Marches Club to join and support the English Petanque
Association.
4.Club Committee.
a)
The
Executive of the Club shall consist of :- b)
The
members of the Club Executive shall be members
of the EPA. c)
The
Committee of the Club shall consist of the Executive plus two members from each
team. Each member of the Committee
having one vote. d)
All
members of the Executive will be elected at the Club
AGM. The Club Committee may
appoint a member on to the Executive only if the position remains vacant after
an AGM or becomes vacant due to an Executive member standing down. e)
The
failure of an Executive Officer to attend two consecutive meetings (Executive or
Committee) with no prior apology will result in that position being deemed
vacant. f)
The
Club Committee shall meet at least once a quarter.
One of these to be held in October and to include the AGM. g)
At
Committee meetings any rule of the Club may be rescinded and any new rule
introduced by a simple majority vote. h)
Minutes
and records of each meeting shall be kept by the Secretary.
5. General Meetings.
a) The Annual General Meeting
shall be held in October, for which each team
will
be given 28 days notice in writing. b)
All
propositions and nominations (duly seconded), either from teams or
individual members, must be submitted in writing to the Club Secretary
within 14 days of the date of the AGM notice and to be circulated with the AGM
Agenda. c)
AGMs
and Extraordinary General Meetings shall be open to all members who have played
during that year for teams belonging to the Club.
On attendance at the meeting all members so defined plus Committee
members will be entitled to one vote only. d)
At
AGMs and EGMs any rule of the Club having been in force for a minimum of 2 years
may be rescinded and any new rule introduced by the vote of two thirds of the
total votes cast. e)
EGMs
can be called at any time by the Club Executive or by agreement between four
teams but with at least 28 days notice to all teams.
6. Club Funds.
a) The Club must be
financially solvent at all time b)
An affiliation fee for teams wishing to be members of the Club shall be
levied each year. The amount of this
fee will be determined at the AGM. c)
A
record of all income monies and expenditure shall be maintained by the Treasurer
who will produce an audited record of all income and expenditure at the Club
AGM. d)
A
sub-committee consisting of two verifiers from the Club membership to verify the
previous year’s accounts shall be nominated at the AGM.
e)
The
Club financial year shall run from the 1st October to 30th
September. f)
The
Club funds shall be deposited at a recognised financial institution as approved
by the Executive committee under the exclusive name of The Marches Petanque
Club. g)
Affiliation
to the Club will lapse if team fees have not been paid by the 1st
April each year. h)
All
reasonable expenses incurred by a member of the Club on official Club business
approved by the Executive shall be re-imbursed from Club funds. 7. The Executive has the right to withhold / withdraw membership from any member / team. There will be fourteen days in which to appeal.
